The Secretary provides comprehensive administrative support to MSF staff, managing correspondence, schedules, office supplies, and event coordination while ensuring efficient communication and documentation within the organization.
Responsibilities
- Prepare and check official letters, reports, and mission-related documents
- Arrange appointments, maintain diary of absences, meetings, and holidays
- Manage call register and inform staff of missed calls
- Take minutes of meetings
- Handle incoming/outgoing mail, packages, faxes, ensuring proper registration and delivery
- Monitor courier services and manage billing
- Procure office stationery and place timely orders
- Supervise printing, binding, copying, laminating, and scanning documents
- Welcome guests and maintain reception area cleanliness
- Assist in organizing internal and external events, including catering and accommodation
- Support administration manager with document translation and meeting assistance
- Maintain office equipment functionality and coordinate maintenance
- Assist recruitment processes by collecting CVs and scheduling interviews
