About the Role

The Receptionist supports daily office operations for Médecins Sans Frontières in Addis Ababa, handling communications, mail, document management, event coordination, and administrative assistance to ensure smooth functioning of the organization.

Responsibilities

  • Receive and transfer incoming calls and visitors according to standard protocols
  • Operate telephone switchboard and manage all call transfers
  • Distribute and handle all correspondence, ensuring proper filing and archiving
  • Maintain office cleanliness and organization
  • Manage mail, parcels, faxes, and courier services including billing
  • Supply and order office stationery to prevent stock shortages
  • Supervise copying, binding, laminating, scanning, and faxing of documents
  • Assist in staff ID card preparation and new staff orientation
  • Support the Administration Manager with document translation and meeting assistance
  • Coordinate supplies for workshops and meetings
  • Prepare medical referral letters and official correspondence
  • Arrange appointments, maintain calendars, and take meeting minutes
  • Follow up on postal payments, lease agreements, and newspaper subscriptions
  • Aid recruitment by collecting CVs and scheduling interviews
  • Organize internal and external events, including catering and accommodation
  • Support visa and travel arrangements, flight booking, and hotel payment processing
