An Office Secretary responsible for handling communications, managing office procedures, maintaining records, processing financial transactions, and coordinating travel arrangements to support the General Manager in a professional inspection surveillance service.
Responsibilities
- Answer telephones and respond to inquiries via telephone or email
- Set up conference calls and take messages and minutes during meetings
- Perform administrative tasks, including filing and photocopying
- Write emails, memos and letters
- Implement and/or develop office procedures and record systems
- Manage database entry and client files
- Document financial transactions
- Organize and distribute messages
- Make and confirm travel arrangements including payments
- Prepare and mail outgoing correspondence
- Maintain confidential files/records
- Perform routine bookkeeping tasks
- File tax declaration including VAT to revenue bureau monthly
- Occasionally travel off-site to deliver reports or payment requests
